Privacy Policy

Last updated: May 2, 2026

We take your data seriously. This policy describes what we collect, how we use it, and the controls you have.

1. Introduction

This Privacy Policy explains how HarkLoop ("we", "us", or "our") collects, uses, shares, and protects information about you when you use our website and platform (the "Service").

If you are using HarkLoop on behalf of an organization, that organization is the controller of the Customer Content stored in its workspace, and HarkLoop acts as a processor on its behalf.

2. Information We Collect

Account information: name, email address, password (stored hashed), organization name, and role.

Customer Content: information you and your users add to your workspace, including campaigns, briefs, deliverables, video files, comments, and contracts.

Usage data: log entries, IP addresses, browser type, device identifiers, and product analytics events used to operate and improve the Service.

Communications: messages you send to our support and sales teams.

3. How We Use Information

To provide, operate, and maintain the Service.

To authenticate users and protect against fraud and abuse.

To improve the Service, including debugging issues and prioritizing new features.

To communicate with you about your account, security alerts, and product updates.

To comply with legal obligations and enforce our Terms of Service.

4. How We Share Information

We do not sell personal information.

We share information with service providers (subprocessors) that help us operate the Service, including hosting, database, storage, email, error monitoring, and analytics providers. These providers are bound by contractual confidentiality and security obligations.

We may disclose information if required by law, to protect the rights and safety of HarkLoop and our users, or in connection with a merger, acquisition, or sale of assets.

5. Data Retention

We retain account and Customer Content for as long as your account is active. After termination, we retain data for a limited period to allow recovery and to comply with legal obligations, after which it is deleted or anonymized.

6. Security

We implement administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure, but we work to apply current best practices.

7. International Transfers

Information may be processed in countries other than your own. Where required, we use appropriate safeguards such as standard contractual clauses to govern these transfers.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing.

If you are an end user of a customer organization, please direct these requests to that organization. If you have a HarkLoop account, you can exercise many of these rights from within your account or by contacting us.

9. Children

HarkLoop is not directed to children under 16 and we do not knowingly collect personal information from children. If you believe we have collected such information, please contact us so we can delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the Service or by email. The updated policy is effective when posted.
